Each route keeps the same approved signature at the center while adapting the installation and verification steps to the email environment.
Install an approved signature in the matching Gmail account or prepare a controlled Workspace rollout.
Before you beginUse the employee account that matches the approved profile. Never share private employee links or administrator credentials.
Open the employee portal and verify that your signature is Approved and Live before installation.
Start the Gmail installation action and sign in with the same work account assigned to the employee profile.
Approve only the permissions shown for signature installation. If access is blocked, ask your administrator to verify the authorized domain and OAuth status.
Open Gmail Settings → See all settings → General, then confirm the signature is selected for new messages and replies.
Send one new message and one reply to an external inbox. Check images, links, spacing, and the reply layout.
A signature can look correct in settings and still behave differently in a real email. Use this quick test before a pilot or full rollout.
